Source text - Russian 2.1
- «Дaмы и господа!»
и т. п.
Translation - English 2.1 Presentation
Being able to correctly describe and present one\'s thoughts publicly is a quality necessary for any business person.
Today, public speech in business communication is increasingly conceptualized as a presentation. What is it? Presentation is a public speech in which one or more persons present a product, organization, project, program, or share their ideas and concerns with the others. The purpose of the presentation is to encourage these people to take actions that benefit the presenter or those who he represents. As a rule, the presentation is accompanied by a demonstration of visual materials such as drawings, photographs, charts and tables.
In the business world, there are two main types of presentation.
o Sales(commercial) presentations are targeted to achieve some economic outcome. For example, the purpose of a manager who is doing a presentation can be a sale of some product, so in this case we are dealing with a purely economic result.
o Management presentations are used in communication with both the external and internal environments of an organization.
In the first example we have speeches dedicated to the organization, its history and purposes (e.g. for potential shareholders).
In the second example, the presentation is used to promote projects related to the development of the organization, its restructuring or to report the results of its work, etc.
2.2 Creating a Presentation
And so we begin to work on our presentation. From the very beginning we need to solve the following problems:
- Determine the topic and purposes of the speech,
- Collect the data (thoughts, facts, opinions, etc.),
- Decide what exactly from the collected materials should be included in the content of the presentation.
Once the material is collected, you can create the text (content).
Standard Presentation Structure.
Any speech, just like any text, can be divided into three parts. In the most simple case, we just state the topic in the introduction, present all the most important data in the body (main part) and sum everything up in conclusion. More clearly this principle can be stated as follows:
1. Say what you\'re going to talk about.
2. Talk about what you were going to talk.
3. Briefly repeat what you\'ve talked about.
Here are a few words about the content of each of those parts.
A. The introduction typically includes:
1. Address to the audience:
- \"Dear Colleagues\"
- \"Ladies and gentlemen!\"
- \"Friends!\" etc.
When choosing the address phrase, you should consider the specifics of the audience.
2. Introducing yourself. If the audience is not familiar with you, you can not do without introduction. It is also necessary if you are not sure that your audience is clear about who you are and what you do.
3. Statement of the topic. This is very important because it tells the audience exactly what you are going to talk about. Such a statement is usually introduced using standard phrases, like:
- \"In my speech (my report, my presentation) I will highlight (would like to highlight) ... “
- \"My talk is dedicated to ... “
- \"The subject of my talk is ... “ etc.
4. The most interesting facts to get the attention of your audience.
B. The body (main part) usually includes:
1. The main concepts of the message. These are the ideas that need to be understood, assimilated and remembered by your audience.
2. Examples. This is a good way to illustrate and make the main ideas of the presentation more understandable.
3. Arguments. Arguments are the thoughts, facts and even images that help us prove the correctness of the main concept of the message. For example, when a sales manager, during a presentation to potential buyers, talks about a favorable experience of one of his clients with the product - he gives them an argument.
4. Demonstrating the effects. If we want to encourage people to take certain actions (or, conversely, to warn them against some actions) you just need to point out the effect this action will have.
A simple example: a person who did not get a flu shot can get sick; moreover flu sometimes causes serious complications relating to the heart, kidneys, lungs and other organs. With this we are not able to make anyone to get vaccinated of course, but there is always a chance that a large part of the audience will consider it and even bring their relatives to the clinic.
C. Conclusion typically includes:
1. Conclusions. They are necessary to help the audience to identify the main idea you wanted to get across to them.
2. Calls to action. This is a very important component of the conclusion, as it usually helps to achieve the main purpose of the presentation.
3. Acknowledgements. It is never too much to thank the audience for their attention. If you perform the presentation within your organization, you should also acknowledge those people who helped you (for example, to collect the information).
The text of your presentation should be well structured. Let’s review an important difference between oral speech and written text.
In the latter case, the recipient can go back to what he has read to refresh certain points. In case of oral speech it is usually not possible; in addition to that, in the course of the presentation the listeners can’t ask questions to clarify something.
That is why, in the text of a public speech, one should indicate what will be said. It would be appropriate to use the following phrases:
- \"I would like to highlight a couple of points ... “
- \"The two main advantages of my proposal are as follows ... “
- \"There are three main arguments in favor of the proposed solution ...”\' etc.
After such phrases one briefly describes those \"points\", then they can be reviewed more thoroughly in greater detail.
